If you are looking to send more than 1000 calendar invites in a month, or are on a plan higher than starter, you need to link your own SMTP / Email Service with Let's Calendar. Follow this article to learn and understand the different types of SMTP services supported by Let's Calendar and how to setup and use one with your account. This is a little technical and you may need help of your IT team. 


What is SMTP or Email Service?

An SMTP or Email service, simply put is your existing email account and service that you use to communicate with your audience. 


This can be either your corporate email / official email account or ID, like you@yourcompanyname.com and it is hosted on Google, Office365 or any other email service provider


OR


This can be a mass mailing service that you use for sending out your marketing communication, like webinars@yourcompanyname.com and is hosted by an email marketing service provider like Mailchimp, SendGrid, Mailgun, Mailjet etc...


Note: Our recommendation is that you link a mass email tool like Mailchimp or SendGrid and not your corporate email service as corporate email services are not geared to send multiple emails at ones and it may get blocked or marked as SPAM. Ideally you should link and use the same service that does all the mass emailing for you. 


Why do I need to link my SMTP or Email Service?

When a calendar invite is sent, it requires a "from" email id and name. To ensure your audience receives a calendar invite which reflects YOUR name or YOUR company, event or webinar name and not that of Let's Calendar, we need to link and send this from your Email Service Provider and your own Email Address. 

This way, when the calendar invite is sent to your audience who have registered for your upcoming event, they will see the same identity or similar identity, something they are familiar with and have marked it as a "safe sender" and thus the emails and calendar invite both would not go into SPAM. 


How do I link my Email Service with Let's Calendar?

The first step in linking your Email Service with Let's Calendar is to find it's SMTP settings. 


We have pre-populated settings for some of the popular email services already and you simply need to enter your user id / password or generate your API Key and Secret as supported by your Email Service Provider. 


  1. Identify your Email Service Provider you want to link with Let's Calendar and the sending email id as well e.g. Google and webinars@yourdomain.com 

  2. Head over to SMTP Settings at your Email Service Provider's end and find the SMTP settings of your service provider, or simply do a Google Search for the SMTP Settings e.g. SMTP Settings for <your email service provider> e.g. "SMTP Settings for Gmail"

  4. From the results that show up, kindly visit the settings displayed officially by your email service provider and copy the following -

  6. Port - 

  7. Encryption Type -

  8. User Id or API Key - your email address or generate API key

  9. Password or API Secret - password you use to login to your email account or generate a new API secret linked to the API Key you just now generated



Now head over to Let's Calendar account, and visit Settings -> SMTP Config


Under Mailing Service, from the drop down, select your Email Service Provider if already listed or else select "Custom"


  • Title - Give a friendly name which you can identify quickly and clearly
  • SMTP Settings - If you have selected a service from the drop down, the values for SMTP, Port and Encryption Type will be pre-populated, please verify the same or edit them to match your settings or else please enter the same from what you had copied in earlier step from your email service provider. 
  • Enter the User Id and Password or API Key and API Secret


You can chose to enter your email address and password to an existing email account or else we highly recommend you create a new email account for this and add it over here OR else if your email service provider supports, please set this up via API Key and API Secret


Click Submit, and the settings are saved. 


Congratulations! Your SMTP service is now successfully configured with Let's Calendar.
