Prerequisite: 


  • Some level of working knowledge of how Zapier works will be ideal. 
  • Zapier Account
  • Let's Calendar Account 
  • A campaign setup in Let's Calendar to which you need to push the new data to
  • Source App or Google Sheet from where the data will be pushed to Let's Calendar


Source App should be able to pass the following data to Zapier and eventually to Let's Calendar - 


a. Campaign Mapping - You should be clearly be able to identify records that belong to individual campaigns (E.g. Individual Webinar, event or conference) 

b. First Name (Optional)

c. Last Name (Optional)

d. Email Address (Mandatory)

e. Login URL (Optional) - Ideal if you use a platform like Zoom where each user has their own login URLs

f. User ID (optional)

g. Password (optional)


Once you have this mapped and ready, it's time to build your Zap - 


Step 1 - Login to your Zapier Account / Create New Account to get started 

Step 2 - Click on "+ Create Zap" to initiate the process



Step 3 - Click on "Trigger" Untitled Step to search for the "Source" app from where data will be pushed to Let's Calendar. 

Note: This can be any form, CRM, CMS, Webinars of Event Platform, as long as it's capable of sending the following data to Zaper and eventually to Let's Calendar on an individual campaign / webinar level - 




In the search box, search for your source app, for e.g. Google Sheets and then follow on-screen instructions to configure it to send data to Zapier. 


Click "Continue" button after selecting the "Trigger event" 



Step 4 - Login and Authenticate your "Source or Trigger Account" 


Now follow on-screen instructions to "Choose your Source Account" or to grant Zapier permission to access your "Trigger/Source" account, in this example we will login to Google and allow Zapier to access our Google Sheets Account. 


Click "Continue" after successful login



Step 5 - Setup Trigger 


Now follow on-screen instructions (these can vary for all apps) to connect / select your specific Source Data - Campaign, Landing Page, Webinar, Form or Sheets


In this example as we are using Google Sheets, we will now select the Spreadsheet and worksheet from where we want the data to transfer to our Let's Calendar Campaign.


Note: If you create or make changes to your "Source" and it's not reflecting in Zapier - Please click "refresh fields" to fetch new data from your account. 



Click "Continue" once you have selected the necessary fields. 


Step 6 - Test Source Trigger


Now that you have successfully selected your Source or Trigger App, selected the trigger event, and selected the campaign from where you want the data to be picked up from and transferred to Let's Calendar you are ready to "Test Trigger".


Click on the "Test Trigger" button to get started



Step 7 - If everything went as per plan, you will see a "Success" message and Zapier will display the 1st data entry from your "Source" - Please verify your data displayed and click "Continue" to confirm.


At the end of this step, you have been successful in fetching your new data records from your "Source or Trigger" app and push that to Zapier.
